Office Coordinator/Administrative Assistant

Duties:

  • Contribute positively to a dynamic, energetic, passionate non-profit team committed to improving education for Alabama students
  • Act as the A+ College Ready receptionist, answering the phone and emails with professionalism and knowledge of the organization 
  • Manage incoming mail, packages, checks and deposits
  • Communicate with third party vendors to order essential training materials, office supplies, purchased services, etc.
  •  Manage contractual agreements for consultants and client records
  • Create summary reports including school, district and program data
  • Manage event registration 
  • Manage documentation and approval of professional development credit for Alabama teachers on Chalkable site 
  • Approve reimbursement and expense reports (both digital and hard copy reports), ensuring compliance with A+ College Ready’s reimbursement policy  
  • Assist with training logistics:  ordering food, booking hotels, follow up calls and contacts
  • Manage general office duties:  copying, organizing training materials, mailing invoices and checks
  • Travel to and attend training events, local and remote, maintaining a positive, helpful disposition
  • Support Special Projects 

Applicant must  

  • Learn quickly and be adaptable to collaborating with a diverse team and serving diverse clientele
  • Be proficient with Microsoft Office products, especially Microsoft Excel, and comfortable exploring new websites and technology applications
  • Be proficient with the Google Suite of products (Docs, Sheets, Forms, Drive) and Adobe Sign
  • Be able to communicate professionally, clearly and effectively
  • Have accessible and reliable transportation
  • Be able to work independently and positively contribute to a collaborative team while multi-tasking daily tasks
  • Be available for overnight travel (3 separate weeks in the summer plus other times throughout the year)

Salary:  $25K to $28K a year

Start Date:  Immediately
