Office Coordinator/Administrative Assistant
Duties:
- Contribute positively to a dynamic, energetic, passionate non-profit team committed to improving education for Alabama students
- Act as the A+ College Ready receptionist, answering the phone and emails with professionalism and knowledge of the organization
- Manage incoming mail, packages, checks and deposits
- Communicate with third party vendors to order essential training materials, office supplies, purchased services, etc.
- Manage contractual agreements for consultants and client records
- Create summary reports including school, district and program data
- Manage event registration
- Manage documentation and approval of professional development credit for Alabama teachers on Chalkable site
- Approve reimbursement and expense reports (both digital and hard copy reports), ensuring compliance with A+ College Ready’s reimbursement policy
- Assist with training logistics: ordering food, booking hotels, follow up calls and contacts
- Manage general office duties: copying, organizing training materials, mailing invoices and checks
- Travel to and attend training events, local and remote, maintaining a positive, helpful disposition
- Support Special Projects
Applicant must
- Learn quickly and be adaptable to collaborating with a diverse team and serving diverse clientele
- Be proficient with Microsoft Office products, especially Microsoft Excel, and comfortable exploring new websites and technology applications
- Be proficient with the Google Suite of products (Docs, Sheets, Forms, Drive) and Adobe Sign
- Be able to communicate professionally, clearly and effectively
- Have accessible and reliable transportation
- Be able to work independently and positively contribute to a collaborative team while multi-tasking daily tasks
- Be available for overnight travel (3 separate weeks in the summer plus other times throughout the year)
Salary: $25K to $28K a year
Start Date: Immediately
